ABOUT THE ROLE 

We are recruiting a full-time Administration Officer! This is an essential role providing reception services and administrative support across the whole team. With access to on-the-job training, this is a highly varied role, which will suit someone at the beginning of their career and keen to learn. 

 

WHAT YOU’LL BE DOING 

The Administration Officer is a versatile role where every day is different. Working with a fun and friendly team with on-the-job training offered, this position provides flexible and responsive support to the Operations and Finance team and wider organisation. 

Some of the duties include: 

  • Coordinate the reception area including answering the phone and helping visitors. 
  • Touchpoint for internal administrative queries. 
  • Supporting the set-up of Amaze’s key internal events and meetings. 
  • Setting up meeting rooms, organise catering, and other associated tasks. 
  • In collaboration with the Office Manager, provide ad hoc executive assistant support. 
  • Supporting for the Communications and Stakeholder Engagement Team including stock coordination, posting materials, and organising workshops, forums, and events. 
  • Supporting the onboarding of new staff. 
  • General administration support for Amaze’s programs.
  • Monitor internal mailboxes and respond or redirect emails as appropriate. 

 

THE *IDEAL CANDIDATE (KEY SKILLS, KNOWLEDGE & EXPERIENCE) 

The Administration Officer provides one of the first touchpoints of service at Amaze. We need someone who is warm and approachable and focused on supporting the needs of the team. It may suit someone who has just completed a vocational qualification in business studies or who has some equivalent experience. We are happy to train and develop the right candidate! 

Other key capabilities include: 

  • Communicates effectively, listens sensitively, and adapt communication to the needs of the audience. 
  • Ability to meet and exceed internal and external customer needs. 
  • Ability to work autonomously as well as part of a team, working to achieve effective, productive, and collaborative relationships across the organisation. 
  • The ability to logically plan, organise and prioritise work to meet timescales and competing deadlines. 
  • Positive attitude with a can-do mindset and willingness to learn. 
  • High level of maturity and personal integrity, with personal drive and determination to deliver work on time and to a high standard. 
  • Beginner to intermediate skills in the use of Microsoft Office, CRMs (preferably Salesforce), and the utilisation of digital technology or the ability to rapidly acquire the knowledge and understanding.

Please note, as this position requires work from the Victoria Street, Richmond office, it is a requirement that the successful candidate demonstrate triple-vaccination status.
